Voices of Hasluck (we, us, our) is a community movement supporting genuine local representation for the people of Hasluck. We are committed to handling your personal information honestly, carefully, and only for the purposes for which it was given to us.

While we are currently a small community group to which the Privacy Act 1988 (Cth) does not directly apply, we have chosen to conduct ourselves in a manner consistent with the Australian Privacy Principles because we believe it is the right thing to do. We take your trust seriously.

1. What Personal Information We Collect

We may collect the following types of personal information:

Identity and contact details

  • Your name
  • Your email address
  • Your phone number
  • Your suburb or locality within the Hasluck electorate

Community engagement information

  • Your responses to our community survey, including your views on local issues and your assessment of current federal representation
  • Notes from Community Conversations (CC) (with your knowledge and consent)
  • Your areas of interest, skills, or availability if you express interest in volunteering
  • Information you provide when contacting us by email or through our website

Website information

  • Technical data collected automatically when you visit our website, including your IP address, browser type, and pages visited — this is collected via cookies and analytics tools and is generally not linked to your identity

Payment information (future)

If and when we establish a donation mechanism, we may collect information necessary to process your donation. Payment transactions will be processed through a secure third-party payment gateway and we will not retain your full payment card details.

We do not collect sensitive information (such as health information, political party membership, or racial or ethnic origin) other than where you voluntarily disclose it in a survey response or other communication with us.

2. How We Collect Personal Information

We collect personal information directly from you when you:

  • Complete our community survey on our website
  • Sign up to our mailing list
  • Participate in a Community Conversation or community event
  • Contact us by email or through our website
  • Express interest in volunteering, hosting an event, or becoming a member
  • Make a donation (when this facility is available)
    We also collect limited technical information automatically when you visit our website, as described above.

We will not collect personal information about you from third parties without your consent, unless it is unreasonable or impracticable to collect it from you directly.

3. Why We Collect Your Personal Information

We collect and use personal information only for the following purposes:

  • To communicate with you about our activities, events, and community listening work — but only if you have consented to receive communications from us
  • To understand the issues and priorities of Hasluck residents through our community survey and CC program
  • To coordinate volunteers and supporters
    To send our newsletter and event invitations to mailing list subscribers
  • To process donations (when applicable) and comply with our obligations under the Commonwealth Electoral Act 1918 (Cth)
  • To improve our website and communications
  • To comply with any applicable legal obligations

We will not use your personal information for any purpose that you would not reasonably expect, and we will not use it for commercial marketing purposes unrelated to our community activities.

4. Who We Share Your Information With

We will not sell your personal information to any third party. We will not share your personal information except in the following limited circumstances:

  • Service providers — we use third-party platforms to manage our mailing list, website analytics, and (when applicable) payment processing. These providers process your information on our behalf and are required to keep it secure.
  • A community independent candidate — if Voices of Hasluck identifies and endorses a candidate for the federal election, and you have consented to this, your contact details may be shared with that candidate’s campaign team for the purposes of campaign communications. We will seek your specific consent before doing this.
  • Legal and regulatory obligations — we may disclose your information if required by law, including under the Commonwealth Electoral Act 1918 (Cth) in relation to donation disclosure obligations.
  • Overseas storage — some of the third-party platforms we use (such as email and website platforms) may store data on servers outside Australia. We take reasonable steps to use reputable providers with appropriate data security standards.

We will not share your personal information with any political party, lobbyist, commercial organisation, or other third party without your consent.

5. Mailing List and Electronic Communications

We will only add you to our mailing list if you have actively opted in — by completing our survey, signing up through our website, or providing your details at an event and consenting to receive communications.

Every newsletter or email communication we send will:

  • Clearly identify Voices of Hasluck as the sender
  • Include a clear and functional unsubscribe link
  • Be processed promptly — unsubscribe requests will be actioned within five working days

Voices of Hasluck uses Community Conversations (CCs) as a core community listening tool. CCs are small, informal gatherings where residents share their views on local issues.

In relation to CCs:

  • We will always tell participants at the start of a CC that notes will be taken and that their views may contribute to our community listening findings
  • We will seek participants’ consent before recording their name or contact details
  • Any notes taken during CCs will be held securely and used only to inform our community platform development
  • We will not attribute specific comments to named individuals in any public reporting of CC findings without that person’s express consent
  • Participants may ask to have their personal information removed from our records at any time

9. Your Rights

You have the right to:

  • Access the personal information we hold about you
    Ask us to correct personal information that is inaccurate, out of date, or incomplete
  • Ask us to delete your personal information, subject to any legal obligations we may have to retain it
  • Withdraw consent to receive communications from us at any time by using the unsubscribe link in any email or by contacting us directly
  • Ask us not to share your personal information with a candidate’s campaign team, even if you support the movement generally
